JOB SUMMARY: The Assistant PA is expected to facilitate the day-to-day community level purchasing task and review all contracts and/or change orders as advised by Purchasing Agent.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Manage time to most effectively meet the department’s goals each day. Meet deadlines with complete and accurate information. Minimizing the effect of unexpected interruptions on long term and daily tasks.
  • Bidding of New Communities:
    • Create and set up bid requests in HB1.
    • Research and respond to questions from bidders Via email and/or phone calls on an as needed basis.
    • Pull bids from Bid program, merge bids to include base and options into the bid analysis template.
    • Compile low bids vs. awarded contracts and create a budget template in Excel.
    • Ensure all contract documentation is received.
  • Maintaining active communities:
    • Respond to calls/emails from production regarding contracts, plans, trade performance and misc. questions, etc. as requested by Purchasing Agent.
    • Respond to calls/emails from trade partners regarding contracts, field concerns, etc. as requested by Purchasing Agent.
    • Prepare contract change requests for review and approval by Purchasing Agent in preparation to review with Purchasing Manager.
    • Submit and approve all forms submitted to Centralized Purchasing Administration. Ensure accuracy for all items.
    • Update all applicable contract documents for pricing changes, changes in product, etc.
    • Set up, maintain and protect all documents in SharePoint and/or company drives including plans, trade partner lists community information and documentation, etc. Ensure accuracy, update as necessary and ensure everything is current.
  • Work with Internal Employees and External Trade Partners:
    • Internal:
      • Director of Operations/Construction (as needed) – provide support and facilitate any special request.
      • Purchasing Manager (daily) – communicate work progress and any outstanding issues.
      • Production Department (daily) – provide support for any concerns regarding trade partner, scopes and contracts
      • Centralized Purchasing Administration (daily) – provide support for all issues relating to trade partners contracts.
    • External:
      • Trade Partners (daily) – provide support regarding questions or concerns with contracts, scopes, production.
  • Other special assignments as may be needed.

EDUCATION/EXPERIENCE/MINIMUM REQUIREMENTS:

Education:

  • High School Diploma or GED required. Accounting, Business and/or Construction Management degree is helpful but not necessary

Experience:

  • Residential Construction knowledge or experience. Residential Purchasing and Contracting required.
  • 1 to 2 years of General Office Organization, Contract Administration, Administrative Assistance experiences.

Knowledge, Skills & Abilities:

  • Ability to maintain the highest Ethical behavior
  • Self-motivated and able to work in a collectively responsible team environment.
  • Ability to stay organized and manages priorities in an efficient manner.
  • Possess strong negotiation skills and experience
  • Proficient in using MS Word, MS Excel, MS Outlook {mandatory}, HB1 experience preferred.
  • Exceptional communication skills necessary, both written and verbal; detail oriented with good follow-up and follow-thru skills.
  • Good people and problem solving skills required
