Office Coordinator

Bethel University

This is a Contract position in Las Vegas, NV posted June 21, 2022.

Job Summary: Position will resource the Seminary faculty and staff community, manage public events sponsored by the Seminary Dean’s Office, provide higher level administrative support in the Dean’s Office and provide a wide range of administrative support including research, statistical reports, and employment administration requirements to the Dean.

Responsibilities: Manages the deployment of academic events, including but not limited to CAPS/Sem/GS Chapel & Lunch, biannual intensives for masters and doctorate level programs, Fika, Omark Preaching Contest, Honor’s Convocation, Faculty Appreciation Dinner, and overseeing the graduate committee.

Collaborates with internal departments for community events in partnership with Work with Purpose and Office of Spiritual Formation and Church Relations, and St.

Paul commencement weekend activities.

Schedule, plan, and facilitate annual fall faculty workshop, arrange meeting space, catering, evening events, collect/distribute agenda items, liaise with colleagues and BU President’s and Provost’s offices, provide attendee information and process meeting and travel expenses Schedule and resource Bethel Seminary faculty meetings, prepare meeting agenda, take meeting minutes and circulate supporting materials to meeting attendees, arrange space, catering for eight faculty meetings during each academic year, and any additional faculty meetings as needed.

Coordinates logistics with CAPS and Seminary Operations Specialist for faculty course assignment processKeeps record of personnel files and academic load for faculty & adjunctsCreates timesheets for faculty teaching assistantsActs as BSSP Social Media content quality controller, and delegates to Dean’s Office student worker, as appropriate.

Consults with Communications & Marketing as needed.Manages office processes, Seminary shipments & mail distribution, ordering and restocking office supplies as needed.

Supervises Dean’s student worker in completing these tasks.

Manages Dean’s calendar, including arranging meetings, and organizing travel schedule & arrangements; communicates for and represents Dean, if appropriate, responding to email, paper mail, and phone calls; completes monthly credit card reports.

Provides logistical support in the Work with Purpose Initiative.Completes annual ATS reports, and contributes to other accreditation reporting (iPeds, ESDC, etc.), as required.Other duties as assigned.

Required Skills: Ability to oversee complex responsibilities and anticipate and plan for projects; can prioritize competing priorities and demands on the Dean’s schedule and plan accordingly.Ability to work independently; ability to manage a number of complex responsibilities in a timely way.Communicate clearly in writing and verbally.

Ability to deal with highly confidential and sensitive information.Excellent knowledge of Microsoft Office Suite; demonstrated ability to learn and master new software.

Skilled in the use of database programs, working knowledge of the Banner system is preferred.Accurate in managing records; detail oriented.Ability to work in highly collaborative manner.

Ability to function in a busy environment with many interruptions and demonstrate patience in stressful situations.

Required Experience: 3 years administrative experience supporting a senior-level leader in a complex office setting.

Required Education: Bachelor’s degree preferred.
