Job DescriptionYOUR MISSION (The Job Description):This position assists the Office Manager, Director of Facilities, all Engineering personnel in the daily activities of the Engineering Department.

Oversees and maintains safety programs for the department.

RequirementsTHE NITTY-GRITTY (The Essential Job Duties):(The following statements are intended as general illustrations of the work in this class and are not all-inclusive for specific positions.) Fields incoming maintenance calls and prioritizes issue(s)either inputs problem into internal work order system HotSOS, dispatches by radio the appropriate personnel, or takes necessary steps to resolve issue.

Ensures Virgin Hotels Las Vegas’ standards of excellence are met when communicating interdepartmentally or business-to-business by telephone, email, radio, or any written correspondence.

Assists in multiple accounting procedures: processing vendor invoices, billing research, resolution of vendor disputes, maintaining internal ledgers, and various other tasks.

Updates and files daily records, logs, invoices, and all pertinent administrative paperwork.

Maintains and replenishes all office equipment including copier, fax machine, and others.

Supports the Office Manager, Casino Manager, Tower Manager, Mechanical Manager, and Director of Facilities with administrative duties.

Abides by confidentiality guidelines as outlined by Virgin Hotels Las Vegas.

Keeps track of purchase orders and receiving copies.

Keeps a record of the issues and requests in the work order system and dispatches calls accordingly.

Updates information in binders such as hood cleaning schedules, contract services, and more.

Handles special projects and assignments when requested by department managers.

Oversees the daily operations of the Engineering Department, ensuring procedural compliance and the highest standards of excellence and communication are met.

Makes, assembles, logs and disperses the name tags for the entire property.

Administrator OSHA programs such as: SDS cut sheet procurement Keep SDS logo up to date/new entries Make sure all chemicals are stored correctly Made sure all bottles are labeled properly Lock Out/Tag Out administrator of program such as: Responsible for setting up and maintaining equipment log Keep updated log book if L.O.T.O Order and maintain L.O.T.O.

inventories Hot Work Permit administrator of program such as: Maintain log binder Police outside subcontractors Coordinate with Security Must be familiar with Engineering Union Contract language and guidelines.WHAT IT TAKES (The Qualities We Look For)Proficient in Microsoft Outlook, Word, Excel, Publisher and PowerPoint.

Type at least 45wpm.

At least 1-2 year’s work experience in an administrative role.

Must possess strong planning and organizational skills.

Must maintain a professional appearance and demeanor.

Have effective communication and problem resolution skills.

Be able to read, write, and speak fluent English.

Able to lift up to 40 lbs.

Able to sit for a long period of time.

Capable of walking long distances.MUST HAVE’SIn addition to the other duties described herein, each and every employee has the following responsibilities related to compliance with laws and regulations:Attend required training sessions offered by the company.Perform the duties described in compliance with local laws and regulations.Take the necessary steps to ensure minors are not allowed to gamble or loiter in gambling areas, drink alcoholic beverages, or purchase tobacco.Have knowledge of the ordinances, regulations, laws, policies, and procedures relating to the employee’s department.

Consult Internal Control Procedures and Policy Manuals for guidance.Report illegal activity to Security or the appropriate levels of ManagementWOULD BE NICE TO HAVE’S Communicate effectively, both written and verbally, with various levels of management, departments, and all external contacts.

Be proficient in the use of all office equipment requisite for the functions of the job.

Review and route all communications, both interoffice and business-to-business, through appropriate channels and departments.

Multitask with a high degree of accuracy and retention.
