Overview: This position is responsible for supporting the Regional Vice President of Sales & Marketing and the Sales and Marketing Department.

The chosen candidate will have a unique opportunity to be part of a growing team with an excellent reputation within the hospitality industry and is responsible for clerical, administrative, sales and marketing support, and other duties to assist in the smooth operation of the Sales department.

He/she is also responsible for providing attentive, courteous and efficient service to all associates, guests, vendors and customers.

Responsibilities: Manage appointment calendar, email correspondence, tracking and filing, contacts, out of office and notesFiling to include electronic, hard copy and emailFacilitate smooth daily, weekly, monthly individual, departmental and corporate meeting prep, agendas, necessary documentation and recapsUnderstand internal reports, purchasing and invoice systemsAssume responsibility for and execute special projectsSort incoming mail, create a log of all checks received and fill out deposit of checksSpecial event committee recorderAssist with weekly office payrollManage restaurant gift certificate donations and associate birthdays issuance and logAssist department with creation of contracts, agreements, reports, and presentationsAssist department with sensitive personnel assessments, documentation, incentive tracking and merit increasesComplete check requests for donations, capital and special eventsTrack capital project submissionsManage executive committee attendance calendarsParticipate in other departmental projects and operational functions when requestedUse proper two-way radio etiquette at all times when communicating with other employees Answer telephone and email messages; Respond accordingly.

Open and distribute mail.

Maintain and stay abreast of Delphi, as well as the latest computer programs/innovations.

Filing of all pertinent correspondence in a timely manner.

Type all correspondence pertaining to department.

Maintain adequate inventory of office supplies.

Responsible for the smooth operation of the office.

Type and distribute meeting minutes.

Maintain trace file as needed.

Assist in copying/faxing/mailing.

Greet guests/clients/employees when necessary.

Attend meetings/training as required by management.

Prepare and run weekly, monthly reports, and perform duties related to Delphi Administration Perform other duties as requested by management.

Qualifications: High School diploma or equivalent required and/or experience in a hotel or a related field preferred.At least 2 to 3 years of progressive experience in a hotel or related field preferred.College course work in related field helpful.Computer knowledge/skills required.Flexible and long hours sometimes required.Light work
– Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects.Must be able to effectively communicate both verbally and written, with all level of employees and guests in an attentive, friendly, courteous and service oriented manner.Ability to read, analyze, and interpret general business documents.

Ability to write reports and business correspondence.

Ability to effectively communicate information and respond to questions from managers, clients, guests, and the general public.Must be able to maintain high confidentiality of information.Must be effective at listening to, understanding, and clarifying concerns raised by employees, managers and guests.Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
