Job Title: Executive and Marketing Assistant

Department: Administration

Reports to: Chief Executive Officer

Salary: DOE

 

Summary: Provide high-level administrative support for the management team and support the business development team’s sales and marketing initiatives. This position requires conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

Essential Duties and Responsibilities:

 

  • Maintain management team’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Work with the business development team to design and prepare proposals
  • Develop and maintain marketing pieces and promotional items
  • Coordinate special events and sponsorships
  • Manage the Continuing Legal Education (CLE) program by coordinating the content providers and scheduling classes.
  • Ensure that all CLE classes have proper state certification
  • Prepare reports, memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software
  • Ability to deal sensitively with confidential material
  • Provide notary services for the Company and its clients as needed
  • Open, sort, and distribute incoming correspondence
  • Ability to sit or stand for long periods of time (4 -6 hours)

 

 

Job Requirements:

  • Must be capable of working independently, in a fast-paced environment, with minimal supervision
  • Detail and goal-oriented with strong analytical and problem-solving skills
  • Must have basic common sense and be able to think quickly
  • Must be organized, detail-oriented, and be able to successfully multitask
  • Exceptional written and verbal communication abilities
  • Keyboard proficiency and intermediate competency with Word, Excel, Windows, and Outlook
  • Availability to work overtime, weekends, or holidays as requested
  • Ability to properly lift 25 lbs.
  • Team Player with the ability to positively support and contribute to the overall success of the organization
  • Must adhere to company confidentiality and HIPAA policies
