Provide customer service assistance to visitors, vendors and Agency staff as required.

Greet, assist and direct visitors to the appropriate department or employee contact.

Responsibilities Greet visitors to the Agency Headquarters by acting as the first representative of the company interacting with visitors.

Ensure that visitors are properly signed in and escorted to appropriate departments.

Track legal department summons and subpoenas.

Update and monitor employee badge access working with security and Headquarters building management.

Answers incoming telephone calls and direct calls to the appropriate recipient.

Assist the Human Resources Division with collecting written job applications and other employment documents from new hire candidates as needed.

Perform scanning, filing, sorting, data entry, tracing and other varied administrative duties and projects working with confidential documents to support Headquarters staff.

Inventory and stock various office supplies.

Ensures proper setup of board room.

Conduct periodic visits throughout the building to observe and maintain a secure environment.

Place priority 911 calls when emergency situations warrant.

Serve as liaison between the Agency and law enforcement/first responders.

View security station monitor to observe and assess activities in high traffic and remote building locations.

Monitor staff to ensure they display Employee Badges at all times inside the Headquarters and follow safety protocol.

Provide assistance as needed in building evacuation during emergencies.

Perform additional duties as requested.

Knowledge, Skill s , & Abilities Ability to professionally interact with the public; Strong public service and communication skills required (written and verbal).

Have the ability to learn and effectively use Microsoft Office software (Word, Excel, Access, etc).

Demonstrate the ability to maintain strict confidentiality of information.

Ability to apply sound security processes and practices.
